JOB DESCRIPTION

Job Title: Bookkeeper ​ FLSA Status: Non-exempt

Supervisory Controls

Works under the direct supervision of Treasurer but receives administrative direction and guidance from the Senior Pastor and Finance Team. Usually works independently but keeps the leadership informed of activities on a regular basis.

Major Duties

The bookkeeper’s responsibilities include but are not limited to:

Weekly/Bi-weekly duties:
• Works with the tellers by scanning in the check contributions and posting to the correct member and general ledger accounts.
• Posts other cash contributions to the appropriate accounts.
• Verifies that computer entries and teller counts match.
• Prepares deposit tickets for the bank and secures the cash and checks in the designated locked bag.
• Posts “Simply Giving” funds to the member and general ledger accounts.
• Prepares and mails checks for vendors and for member reimbursements which will be signed by any two authorized signatories. Ensures that invoices are approved by the relevant committee member. Ensures that no committee member is approving his/her own reimbursement request.
• Maintains and files copies of all backup materials ensuring existence of a verifiable audit trail for all financial transactions.

Monthly duties:
• Prepares monthly income and expense reports as well as others requested by the Treasurer for review and discussion by Church Council.
• Reconciles the bank statements.
• Ensures that payroll information is submitted in a timely manner to the church’s payroll. processing service (ADP Corporation) and ensures that it is updated as the need arises.
• Maintains backup of financial records.
• Prepares accounting statements for and attends meetings with the Finance Committee.

Quarterly duties:
• Prepares and mails quarterly contributions statements.
• Prepares and submits applications for state sales tax refunds.

Yearly duties:
• Assists in preparation of the operating budget.
• Prepares and mails annual contributions statements.
• Prepares and submits enrollment documents to the employee benefit management company and updates benefit information.
• Prepares IRS forms 1099 if necessary for contract work.

General duties:
• Performs balance sheet and other reconciliations as necessary Suggests improvements in the format of presentation. Notifies treasurer immediately of situations requiring use of reserve funds.
• Complies with federal, state and church policies and regulations and follows acceptable accounting procedures.
• Prepares for and attends meetings with the Treasurer, Senior Pastor and Finance. Committee and also prepares to discuss trends and significant financial transactions as they arise.
• Maintains contact with ACS (church accounting software company) and bank personnel (Currently First Bank).
• Performs other duties as assigned.

Basic Qualifications:
▪ Proficiency in computer technology to include automated accounting, specifically, ACS Technologies Corporation – Church Accounting Software, word-processing and spreadsheets
▪ Must have a working knowledge of and a strong commitment to the mission of the Church
▪ Excellent communications skills, verbal and written; excellent human relations and interpersonal skills
▪ Must be a self-starter; well organized; perform multiple tasks simultaneously and work with a sense of urgency
▪ Ability to maintain confidentiality
▪ Ability to work collaboratively in a team environment; punctuality is a must at all times; ability to travel locally as required
▪ Professional bearing; clean and neat personal appearance
▪ Ability to successfully pass a background check

Education and/or Level of Experience:
▪ Associate degree in accounting, business administration or similar field of study or equivalent experience in finance and accounting
▪ Two additional years’ experience in a business firm, charitable organization, church or similar environment
• Qualified applicants are those who can demonstrate the knowledge, skills and abilities to perform the duties of this job. Priority will be given to applicants with proficiency in ACS software.

• The individual selected for this position must agree to a background check and also agree to not smoke on the church campus. You will be required to provide documents proving you are eligible to work in the United States and to complete a Federal I-9 form. There is an initial probationary period of 90 days. You must demonstrate full knowledge of the work of this position a church bookkeeper to continue in the position.

• This position does not offer employee benefits. As a church, St. Matthew’s is not required to pay unemployment compensation taxes; therefore, persons who separate for any reason may not qualify for state unemployment benefits. Employees of St. Matthew’s are covered by Workers’ Compensation.
